"Where exactly is the key box?" Every manager gets this call, usually while busy elsewhere. A new provider, a stand-in, a box hidden behind a meter: it takes very little for a cleaning to start twenty minutes late. Easyical now gathers every access to a property on its page, with its code, its address and a photo of the spot.
1. Access, the first thing that blocks a cleaning
A provider who cannot get in cannot do anything. Yet access details are often scattered: a code in a text, a detail in a voice message, a photo sent six months ago. They change too: new code, moved box, new caretaker.
When this information is not kept up to date in one place, every change of code or person turns into a phone call.
2. Door and key box: the two basic codes
Every property has two dedicated fields: the door code and the key box code. They are shown at the top of the property page, and each code can be copied with a tap. An empty field is not shown, to keep the page clean.
The other useful details stay alongside: floor, times, a link to an arrival guide and additional information (bins, parking, linen stock).
3. Other accesses: second box, locker, shop
Many properties are more than a door and a box. Below the two usual codes, the "Other access points" section lets you add up to 10 extra accesses. Each one has:
A name. "Bedroom box", "Cellar", "Station locker".
A code. Copied with a tap by the provider.
An address, if needed. Only when the access is somewhere other than the property. The "Open" button starts directions.
A note. "Left of the lift", "Ask at the counter".
4. A photo of the location
A code is useless if nobody can find the box. Every access, including the door and the main key box, can have a photo of its location. In the property form, tap the circle to the left of the code to add one.
Your providers see the photo in place of the icon on the property page and can open it full screen. One photo taken once saves dozens of explanations.
5. Where your providers find these accesses
Accesses are on the property page, on iOS, Android and the web. Providers also reach it from the detail of a cleaning or an intervention, without searching for the property. What they see depends on the rights of their access code.
When a code changes, you edit it once in the property: every provider concerned has the new version on their next visit.
Conclusion
Access is the first step of every cleaning, and the silliest one to get wrong. Two basic codes, up to 10 other accesses with address and note, and a photo of each location are enough for your providers to get in first time, even on their first visit.
