1. Linen, an easy and costly mistake
Missing linen is always discovered on site, when it is time to make the bed. The cleaner has no choice: go back for what is missing, or leave a bed unmade. Either way the cleaning runs late, and on an arrival day that delay matters.
The opposite costs too. Always preparing for a full property means washing and carrying linen that was never used. Over a season and several properties, that adds up to extra loads, folding time and wear.
The right bag matches the property's beds and the guests who are arriving, not an estimate.
2. What the property needs to state
The calculation starts from the property. For each one, you enter the number of beds by size (180, 160, 140 and 90 cm), the number of bathrooms and the capacity. That is all. There is no item catalogue to create and no list to maintain for each property.
Properties missing beds or a bathroom appear in a "To complete" list in the Linen & Consumables menu. One click opens the form of the property concerned.
3. How the bag is calculated
Every bed that is made gets a bedding set in its size: fitted sheet, duvet cover and pillowcases. The rest of the linen follows a simple rule you set once for the whole company:
Per guest. Bath towels and hand towels, one of each by default.
Per bathroom. The bath mat, one per bathroom by default.
Per property. The tea towel and, if you use them, extra pillowcases, flat sheet, bolster case.
A quantity of 0 removes the item from the bag. A specific property can have its own bag: "Adjust for this property" button in its form.
4. Full property or guests of the next arrival
Not every manager works the same way. Three settings are available:
Always for a full property: every bed is made and towels cover the property's capacity.
All beds, towels for the guests: every bed is made, towels follow the number of guests of the next arrival.
Only for the guests: only the beds needed are made, double beds first, two people per bed, then single beds.
The bag is always calculated for the next arrival, not the stay that is ending. If the number of guests is unknown, linen is prepared for the full property.
Example: a flat with one 160 cm bed and two single beds, for 4 people and one bathroom. For an arrival of 2 guests in "Only for the guests" mode, the bag holds one 160 bedding set, 2 bath towels, 2 hand towels, one bath mat and one tea towel.
5. Consumables in the same bag
Coffee, capsules, soap, toilet paper: the property's consumables can join the bag list. Turn on "Put consumables in the bag" in the Linen & Consumables menu, Consumables tab. They then appear below the linen, with the quantities set for the property.
They are still suggested when the cleaning is validated, and the quantity left is taken out of stock. Whoever prepares the bag has a single list for everything going to the property.
6. What your provider sees
The linen bag appears in the detail of every cleaning, in the iOS and Android apps as well as on the web. Whoever prepares the linen knows exactly what to put in the bag, without calling you. They can then mark the bag as ready in one gesture, if their access code allows it, and you see it with the date and time.
The property page also shows the bag for the full property, handy for preparing stock or briefing a new team member.
