A dripping tap, a broken bed frame, a dead outlet: your provider is the first to notice, right there during the cleaning. Until now, that information went out over WhatsApp, by text, or simply got lost, and you'd sometimes hear about it from the next guest instead, at the worst possible moment. Reports change that: every problem a provider flags during a cleaning now lands in a dedicated page in your dashboard, with a photo and a category, ready to be turned into an intervention.
1. The problem: information that fell through the cracks between the cleaning and you
A completed cleaning doesn't mean a flawless unit. A broken washing machine, a cracked tile, a leak behind the shower: only the provider on site, in the middle of the cleaning, can catch these. The trouble was that this information had no reliable channel. A message buried in a chat, a missed call on a busy day, and the problem stayed invisible until a guest ran into it, or until it got worse and cost more to fix.
It's not just about information getting lost, either. Without a written, timestamped trail, there was no way to know who reported what, when, or whether anyone ever actually dealt with it. A problem reported out loud gets handled once, at best; a problem reported and logged gets handled and stays on record.
A report that never leaves your provider's messaging app doesn't exist for you.
2. How it works for your provider
From the mobile app, right when they validate a cleaning, a provider can report one or several problems they've found. For each one: a category, a free-text description, and up to 10 supporting photos. If they spot several distinct issues (a leaking seal and a broken shutter, say), they add them one by one within the same report instead of lumping everything into a single description.
The app also shows what's already been reported for that cleaning, to avoid duplicates if someone already flagged it or the provider comes back to the screen. Nothing to install, nothing new to remember: reporting is built into the cleaning validation flow, not a separate step they have to think to do.
3. Five categories, sorted at a glance
Every report is tagged with one of these categories: water damage, breakage, pest infestation, malfunction, or other. That's not red tape for its own sake: it's what lets you, once reports start piling up, tell an emergency (water damage, pests) from something that can wait (a minor breakage) at a glance.
These categories are deliberately narrower than the full list used elsewhere for scheduled interventions (repair, maintenance, linen replacement...). A provider isn't asked to classify a management action, just to describe what's in front of them.
4. How it reaches you
You're notified when the cleaning is validated, and every report shows up in a dedicated dashboard page, "Reports," with two tabs: Pending and History. On desktop they display as a table with unit, category, description, and who reported it; on mobile, as a card list with the unit's photo. Either way, one click opens the full detail: description, photos, and the originating cleaning.
You can filter by category or by unit, and sort by date or by unit name, to quickly pull up every report for one property or zero in on a specific category. No more digging through a chat history or cross-checking a month of messages to figure out what was reported where.
5. Who sees what
Access to reports follows the same permissions as the rest of the dashboard: a read-only provider access code won't see the associated intervention amounts, for instance, while a manager always does. You stay in control of who on your team can view or manage these reports, without opening everything up to everyone.
6. From a report to a scheduled intervention
A report is just a finding, the next step is the decision. From the report's detail view, you schedule it as an intervention: add an amount and a date, and its status moves from "pending" to "scheduled." That keeps a full history between what was reported and what was actually handled, without re-entering the information anywhere else.
7. Available now
Your providers report from the mobile app, on both iOS and Android. You can track these reports from the app or straight from the web dashboard, whichever you prefer.
Conclusion
Reports close a gap that used to sit between your provider and you: what they find during a cleaning now lands directly in your dashboard, with photos, a category, and context, ready to become a tracked intervention. No more lost messages, no more problems discovered by the next guest first.
